The Role: Executive Assistant (EA) /Operations Manager 

Key job responsibilities

We are looking for an Executive Assistant to perform a variety of administrative tasks and support our company’s senior-level managers.

Executive Assistant’s responsibilities include managing calendars, making travel arrangements and preparing expense reports. To be successful in this role, you should be well-organized, have great time management skills and be able to act without guidance.

Ultimately, you will contribute to the efficiency of our business by providing personalized and timely support to executive members.  

For the right person, this role has the opportunity to scale into EA/Operations Manager, with additional CIPD training, so it is a great time to be joining the growing Spherics team!

EA responsibilities 

  • Acting as the point of contact among executives, employees, clients and other external partners
  • Managing information flow in a timely and accurate manner
  • Managing executives’ calendars and set up meetings
  • Make travel and accommodation arrangements
  • Rack daily expenses and prepare weekly, monthly or quarterly reports
  • Oversee the performance of other clerical staff
  • Act as an office manager by keeping up with office supply inventory
  • Format information for internal and external communication – memos, emails, presentations, reports
  • Take minutes during meetings
  • Screen and direct phone calls and distribute correspondence
  • Organize and maintain the office G Drive

Operations Manager responsibilities 

Working closely with the COO to ensure CPD for the team, which may include:

  • Performing HR duties such as recruiting, selecting, scheduling 
  • Helping the company to promote high morale and communicate the company’s operating policies, customer issues and safety measures
  • Performing financial predictions by preparing the annual budgets, scheduling expenditures, analysing variance and initiating corrective actions with COO
  • Developing operations policies by evaluating and enforcing policies for products and inventory receipts with COO
  • Reviewing and approving operational invoices and forwarding them to payment
  • Ensuring compliance with laws and regulations
  • Making sure that all employees fill out the required legal documents

May be required to undertake other duties from time to time as we may reasonably require.

Requirements

  • Work experience as an Executive Assistant, Personal Assistant or similar role
  • Excellent MS Office knowledge
  • Outstanding organizational and time management skills
  • Good data analysis, planning skills
  • Familiarity with office gadgets and applications/platforms
  • Excellent verbal and written communications skills
  • Discretion and confidentiality
  • Excellent critical thinking and problem-solving skills
